PERA Employer Reports

Annual Reports

Report notifications are sent via email and are completed in ERIS unless labeled otherwise.

Exclusions

All schools and local governments are required to file an annual report listing all employees and elected officials who worked during the reporting year and were not members of a PERA plan or another Minnesota public retirement system. For more information, see the Employer Manual.

Leaves

Any government unit employing at least one Defined Benefit Plan member is required to report all authorized leaves taken during the previous reporting year that resulted in any unpaid or unreported salary. A response is required from every employer, even if no employees had authorized leave during the year.

Police & Fire Certification (Local Government Only)

This report lists position information for current or former employees who contributed to PERA’s Police and Fire Plan at any time during the prior calendar year. Review the position title and classification shown. Provide corrections if it does not match the member’s status at year-end or termination.

Periodic Reports

Report notifications are sent via email unless labeled otherwise and can be completed or returned in ERIS. Reports run at regular intervals and due dates are provided in PERA’s communication.

Address and Date of Birth  

This report is sent by mail and identifies member accounts that are missing a date of birth or current home address. This information is required to provide accurate benefit estimates to members and assess the status of our pension funds. Please update the information online using ERIS.  

Higher than Normal Salary

An employee appears on this report if they have reported earnings that are more than twice their average amount. Employers are asked to identify the reason for the increase in pay to help PERA make any necessary corrections. Completing this report helps ensure that members are receiving proper service credits and accurate salary disbursement.    

Missing Enrollment  

Individuals will appear on a missing enrollment report if they have not been enrolled prior to PERA receiving their first contributions.  

If a Salary Deduction Report is received with a Social Security Number that is not enrolled under the employer ID, the individual is set up with an account that includes their first and last name and the enrollment date is set as the first day of the reported pay period.

The missing enrollment report is meant to gather all information absent from the member’s account, which includes:

  • Date of Birth
  • Address
  • Position Class
  • Hire Date
  • Eligibility Date
  • Position Title
  • Exclusion code (when eligibility date is more than 30 days after the hire date)

Plan Certification  

This report is mailed to employers who have one or more employees that need certification to validate PERA coverage. Additional certifications are required for certain positions including all members of the Correctional Plan and those Police and Fire Plan members with a position classification other than full-time Police Officer or Firefighter.

Status Verification

The Member Status Verification report is used to confirm that certain employees who PERA’s records indicate are active in a Defined Benet Plan are still employed in public service. The report asks for information on employees listed as active in our system, but for

Whom Defined Benefit Plan salary has not been reported for six or more months; for employees reported on a leave of absence for more than 6 months and employees on a layoff status exceeding 8 months.

Summer Earnings (Schools only)

This report is generated when PERA begins paying an estimated monthly benefit for a member based on prior employment during the person’s high-five salary period. The earnings periods of any summer paychecks must be confirmed as a contract payment or actual hours worked before benefits can be finalized.
